This policy explains what personal information I collect when you use my website or get in touch, why I collect it, and what your rights are. I'm Barbara Czarkowska, and I run Barbara Sunchaser Yoga. I'm the person responsible for your information (in legal terms, the ‘data controller’).

I've tried to keep this in plain English. If anything's unclear, please just email me at yoga@barbarasunchaser.com and I'll be happy to explain.

Who I am

Barbara Sunchaser Yoga is a small, sole-trader business based in Banbury, Oxfordshire. I teach yoga and mobility classes, run events, and offer 1:1 sessions. This policy covers my website (www.barbarasunchaser.com) and the ways you might interact with me through it, such as signing up to my newsletter or booking a class.

What information I collect

I only collect what I need to run my classes and stay in touch with you. Depending on how you interact with me, that may include:

  • Your contact details — such as your name, email address and phone number, when you book a class, send me an enquiry, or sign up to my newsletter.

  • Booking information — the classes, events or sessions you've booked, through my online booking system.

  • Payment information — handled securely by my payment providers (see below). I don't see or store your full card details.

  • Anything you tell me — if you choose to share health, injury or wellbeing information with me so I can teach you safely, I treat that as sensitive and handle it with extra care (see ‘Health information’ below).

  • Website usage information — basic technical information collected automatically when you visit, such as your approximate location, browser type and which pages you look at. This helps me understand how the site is used and keep it working.

How I collect it

Most of the information I hold comes directly from you — when you fill in my contact form, book through my online scheduling system, sign up to my newsletter, or message me. Some technical information is collected automatically through cookies and similar tools when you visit the website (see ‘Cookies and tracking’).

Why I use it, and my legal basis

Under UK data protection law (the UK GDPR), I have to have a valid reason — a ‘lawful basis’ — for using your information. Here's what I use it for and why:

  • To run your bookings and provide classes — so I can confirm your place, take payment, and teach you. Lawful basis: performing my contract with you.

  • To reply to your enquiries — when you contact me with a question. Lawful basis: my legitimate interest in responding to you, or taking steps before a possible booking.

  • To send my newsletter — only if you've signed up. Lawful basis: your consent, which you can withdraw at any time.

  • To teach you safely — where you've shared health or injury information. Lawful basis: your explicit consent.

  • To keep proper business records — such as for tax and accounting. Lawful basis: complying with my legal obligations.

  • To understand and improve my website, and to reach people who might like my classes — through analytics and some social media advertising. Lawful basis: your consent, through the cookie banner (see below).

Health information

Yoga sometimes means you'll want to tell me about an injury, a health condition, pregnancy, or how you're feeling, so I can adapt a class for you. You never have to share anything you don't want to. If you do share it, I'll only use it to teach you safely, I'll keep it confidential, and my lawful basis for holding it is your explicit consent. You can ask me to delete it at any time.

Who I share it with

I don't sell your information, and I don't share it with anyone who doesn't need it. I do use a small number of trusted services to run my business, and your information passes through these:

  • Squarespace — hosts my website, runs my online booking (Squarespace Scheduling / Acuity), and sends my newsletter (Squarespace Email Campaigns).

  • Payment providers — PayPal, Stripe, Square and Squarespace Payments process payments securely on my behalf.

  • QuickBooks — for my accounts and bookkeeping.

  • Google Analytics — helps me understand how my website is used.

  • Meta (Facebook and Instagram) — I use the Meta Pixel and retargeting so I can show my classes to people on Facebook and Instagram. This only runs if you accept advertising cookies.

Each of these has its own privacy policy and looks after your information under its own agreement with me. I may also share information if I'm legally required to — for example, in response to a lawful request from an authority.

Cookies and tracking

Cookies are small files saved to your device when you visit a website. I use a cookie banner so you can choose what you're happy with.

  • Essential cookies keep the website and booking system working. These are always on.

  • Analytics cookies (Google Analytics) help me see how the site is used so I can improve it.

  • Advertising cookies (the Meta Pixel and retargeting) let me show my classes to people on Facebook and Instagram. These only run if you agree.

You can accept or reject non-essential cookies through the banner when you first visit, and you can change your mind at any time by adjusting your browser settings or revisiting the banner. Most browsers also let you block or delete cookies if you prefer.

How long I keep it

I only keep your information for as long as I need it. As a rough guide:

  • Booking and payment records: kept for up to 6 years, because HMRC requires me to keep tax and accounting records for that long.

  • Newsletter sign-ups: kept until you unsubscribe, after which I remove you from the list.

  • Enquiries and general correspondence: kept for as long as needed to deal with your query, then deleted.

  • Health information you've shared: kept only as long as I'm teaching you, and deleted on request.

When I no longer need your information, I delete it securely.

Your rights

Under UK data protection law you have a number of rights over your information. You can ask me to:

  • Show you the information I hold about you, and give you a copy.

  • Correct anything that's wrong or out of date.

  • Delete your information, where there's no good reason for me to keep it.

  • Stop or limit how I use it.

  • Withdraw your consent at any time — for example, by unsubscribing from my newsletter or rejecting cookies.

To do any of these, just email me at yoga@barbarasunchaser.com. There's no charge, and I'll respond as soon as I can, normally within one month.

If you're unhappy with how I handle your information

Please come to me first — email yoga@barbarasunchaser.com and tell me what's wrong. I'll acknowledge your complaint within 30 days and do my best to put things right as quickly as I can.

If you're still not satisfied, you have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or by calling their helpline on 0303 123 1113.

Where your information is stored

My website and booking are hosted by Squarespace, and some of my providers (such as Meta, Google and Stripe) are based outside the UK. Where your information is transferred abroad, those providers are required to protect it to a standard recognised under UK data protection law.

Changes to this policy

I may update this policy from time to time, for example if I start using a new tool or the law changes. When I do, I'll update the date at the top of the page. The latest version will always be here on my website.
